Privacy in one minute
- Use child nicknames. Optional notes should leave out full names and medical documents.
- You choose whom to connect to family records and can revoke their access. They may retain copies already saved.
- My Week plans and reflections stay private to your account. Connected supporters can see the separate records described below.
- Export your records or remove profiles in Family & settings. Contact and launch-update requests have separate removal links.
- No advertising or analytics scripts are installed. Child notes are not sent to AI services; limited product-use counts are explained below.
Information used by Vocalize
Vocalize uses your sign-in identifier, email, and available display name to provide your account. You can save child nicknames, age ranges, communication preferences, goals, practice records, saved stopping points and unfinished reflections, My Week choices and optional reflections, observations, and favorites. You choose what to put in optional notes. Keep full child names, contact details, and medical documents out of those notes.
Launch updates and contact requests
You can leave an adult email address without signing in. We save the email, selected topic, any contact message, consent wording and submission date. A contact request asks for a reply only; it does not add you to launch emails. These forms do not ask for a child name, diagnosis, medical note or other clinical information.
The founder can read and export these requests to respond or send the launch updates you requested. No confirmation or marketing email is sent automatically. Keep the private link shown after submission to delete that request; each submission has its own link. Requests remain until you or the founder remove them. For another removal request, use the contact form and choose Privacy or removing my information.
To limit repeated submissions, the site keeps a temporary hash of the connection address and a time window. These form-protection records are cleared after a day when the form is next used. They are not used for advertising.
How information is used
Account and family information supports your learning path, saved practice, progress summaries, sharing choices, and membership access. Your selected family and rough-day preference are stored in this browser. Those browser preferences do not replace your saved account records.
Program-use review
To understand whether families use the program, Vocalize counts paid pass accounts with at least one saved activity in completed weeks 2, 4, 8 and 12 after payment. These are seven-day periods measured from purchase in UTC. They are separate from the local Monday dates used to organize My Week plans. Counts use existing account references and the time activity entries were saved; they do not read child notes, diagnoses, communication modes or outcomes. All eligible pass accounts are included, including those with no saved activity and those later refunded. Test purchases are excluded. Deleting a practice entry removes it from future counts; we keep no separate tracking copy. This describes saved use, not every visit or offline practice. Optional surveys are separate, and choosing not to answer does not affect access.
Services that process information
This version of Vocalize uses Clerk for adult account sign-in and Cloudflare Workers for hosting, with application records stored in Cloudflare D1. Stripe processes payment details when checkout is available. Vocalize stores an account-to-customer reference, payment status, pass start and end dates, subscription and paid-period dates, renewal and cancellation status, refund status and the exact terms you accepted. Child profiles and practice notes are not sent to Stripe by this integration. Vocalize does not store your card number.
Your sharing choices
Your family records are available to your account and people you explicitly connect through a family code. A connected person can see the shared profile, practice history, learning path, observations, and notes, and can update its practice plan. They cannot edit your caregiver observations. My Week plans and reflections, saved stopping points and unfinished reflections are visible only to your account. You can revoke shared access in Share with a supporter. Sharing a code with someone does not by itself grant them access to the Site.
A supporter is an account you choose to connect, such as your own SLP. Vocalize does not verify that person's identity, professional credentials or provider relationship. The name they enter, their account reference and, for new connections, the connection time are shown to you. Only the profile owner can create sharing codes or revoke access; connected supporters cannot invite others to that profile through Vocalize. Anyone with an unused code and access to a signed-in account could redeem it, so give it directly to the person you choose.
A connected person can save or copy information they can see. Revoking access blocks further access through Vocalize; it cannot recall copies they already saved.
Exporting and removing information
In Family & settings, you can download a JSON file of all profiles you created and their saved practice, learning records, shared plans, My Week plans and reflections and stopping points, plus your account's favorites and private notes. The export excludes connection details and codes, billing records, and profiles shared with you by someone else. For a readable summary of one child, use Print all-time summary in Our progress. You can also delete a child profile in Family & settings. Deleting a profile removes its active practice, saved stopping points, observations, learning checks, shared plan, My Week plans and reflections and connections. Billing records, including accepted terms, are separate from child profiles and remain available for billing support. Deleting a profile does not cancel a subscription or request a refund. There is currently no automatic deletion date for family records after paid access ends. Records remain until you delete them or request deletion. Expiry, cancellation or refund does not delete records; Family & settings remains available for export or deletion.
For an account-wide deletion request or a question about provider backups or retained billing records, use the contact option below. Deleting a family profile does not delete your sign-in account or billing records; account-wide requests are handled separately.
For parents and caregivers
Vocalize accounts are for adults supporting a child. Children do not create their own accounts. The app does not include advertising or analytics scripts, sell family records, or use a child's notes to generate AI responses.
Optional Parent Community
Other members and moderators can read your posts and replies. Someone could copy them or take a screenshot. Your community name is separate from your account and family profiles. Your sign-in identifier is used privately to enforce access and ownership. Your email, account name, child profiles, observations and practice records are not added to your community profile.
We store your chosen community name, acceptance of these rules, posts, comments, supportive reactions, mute/block choices, reports and moderation actions in the existing Cloudflare database. Members see your name and contributions; reaction counts are shown without a public list of who reacted. Only moderators can read reports and the action log. Staff contributions are labeled Vocalize Team. Moderators are not given access to your family records through the community tools.
Community content requires a signed-in account and active paid access, except for moderator review and management of your own contributions. It is not included in public previews or search-engine indexing. No member email, push notification, private messaging or promotional mailing is enabled by joining.
Use My contributions to export or delete your post/comment text after membership expires, is refunded or is suspended. Changing your community name changes it on existing contributions. Deletion removes the text from the active database; deletion of a post hides its discussion, but other authors can still manage their own replies. Existing provider backups may retain deleted information temporarily. Moderation notes and resolved reports are excluded from moderator results after 180 days and physically pruned when a moderator next opens the workspace; open reports remain until resolved. We keep reference IDs, reasons and actions rather than separate copies of deleted posts. Community names and active contributions have no automatic expiry. Contact Vocalize for account-wide deletion or correction; required billing records are separate.
